Welcome to our new headlines with both offices included. From this point on, we will use this format as a way to give heads up to both offices. If the topic is specific to HCD, the headline will be highlighted like this. If the topic is specific to EVG, the headline will be highlighted like this. If there is no highlight, the topic pertains to both practices. Please let me know if you have any questions regarding this new format.

Team Meeting Tomorrow at 7:36AM
Our meeting will be tomorrow in the HCD Conference Room or on Zoom if you're unable to be in person. I'll send that out separately via email if you need the login to participate.
We will have Precision Dental Designs with us tomorrow showing our clinical team how to polish dentures and other oral appliances. This will be a special treat for our patients to receive their appliances back shining like the noon-day sun at the end of their cleanings and/or treatment.
During this time, the front desk will meet with DKM and Rachael in the front to review a few topics pertinent to the admin team.
We will also review our Resolving Conflict worksheets, so please remember to bring yours!
Lastly (but definitely not leastly) be celebrating Kaitlyn's new adventures starting in September with breakfast and tears. Please bring your appetite and your hugs to share.
X-Ray Protocols
We've talked about this on an individual basis and will touch on it tomorrow... In regards to the sensors having issues throughout the office, we are going to follow a very strict protocol when it comes to taking x-rays in order to troubleshoot properly. When Blake came in, he tested each sensor in each room and had no issue, which is frustrating but is also helpful to know if we follow the same protocol, we should be able to narrow down the true gremlins hiding in our system.
Step 1: Open Appointment Book.
Step 2: Insert sensor into USB port - if an error screen pops up after this saying it doesn't recognize the sensor, take a screen shot and send it to me. Change ports until this error doesn't show up.
Step 3: Open Patient Chart.
Step 4: Double click on Images on bottom of module to access Dexis.
Step 5: Click on x-ray button to begin taking x-rays.
Please note that this process is for BOTH practices, HCD and EVG. This process has been proven to have the least amount of errors. Doesn't mean there won't be any, but a reduction in errors will help things run smoother and help us find the true issue.
CBCT at HCD
There have been multiple issues with the CBCT machine and this is also due to not following a specific protocol for taking images. Moving forward, this is the only way to take panos for ALL patients.
Step 1: Open Appointment Book
Step 2: Open Patient Chart.
Step 3: Double click on Images on bottom of module to access Dexis.
Step 4: Prep/adjust the patient to fit properly within the pano machine.
Step 5: Open the pano module within Dexis.
Step 6: Click on x-ray button to begin taking the pano. Sidexis will open through Dexis and take the image once you have the GREEN button.
Step 7: Take the image using the remote button.
Step 8: Replace remote and PRESS R. I cannot express how vital this step is to ensure the image is taken and to remove the possibility of error for the next person. Yes, the computer will continue to work without pushing R, but as it has been reviewed many times, it will cause errors and the need to reset the machine in the future. So, PLEASE PRESS "R."
Step 9: Close Dexis/Dentrix.
Going through this process, the image will automatically upload into Dentrix. It will also reduce the duplicity of images on the servers which also leads to reduction in space and more errors and frustration from the team. Please let me know if you would like me to review this with you in person. These directions are already laminated and kept in the drawer in the pano room.
Team Photos
Sean will be at HCD on September 6th to take photos of the EVG team. This includes all the doctors and headshots of Guadalupe and Jorja. The doctors will wear their green dress shirts and the rest of the team will be in business black outfits. Please be there at 8:30AM for photos. If you have further questions, please speak with Mikhayla.
Team Photos
Now that we have Dr. Waddle with us (hurrah!), we will do team photos for HCD. We will do our photos in the new lobby. Colors will be dark purple, black or light grey. You are welcome to do a combo. The colors will match our new branding which will review with you all very soon (super excited!). Please be prepared to do photos on September 8th at our Team Meeting.
Responding to Headlines
When we stop to look around us, we can see many things that are going wrong and many more that are going right. As a team and as individuals, we must take the time to do a mental inventory of our current position within the practice. The topics we cover in these Headlines are those moments of inventory that either your team members, the doctors or myself have done. These are cogs in our system that may seem irrelevant or redundant, but by paying attention to and acknowledging the receipt of these inventories or cogs, it increases the likelihood of a smoother and more agreeable experience for all of our team.
If you receive these messages outside of work time, please remember to include 10 minutes on your timesheet. These are mandatory readings and therefore, you must be paid for them.
As they are mandatory in order for our clinics to function properly, I also need to know when you've read through them. Moving forward, whenever these headlines are sent out, please read them and then let your team and I know that you've read them. This will be through an emoji or meme that is sent to the text string of your department. This will keep all of us responsible to one another and ensures that we have all read the same information and are thereby ready to move forward with the same plan.
I truly appreciate all of your efforts to make sure our practices succeed, not only financially, but through environments that are positive and uplifting in every aspect. We can only do this together and I sincerely thank you for who you are and what you bring to both HCD and EVG.
