Welcome May! Time for graduations and camping! And one of my favorite reels...

Who's that last person you see?

Distilled Water

It has been brought to my attention that distilled water is being used to fill up the bottles in the operatories. Distilled water CANNOT be used on those systems per Burkhart. "Pure distilled water can increase the risk of corrosion damage to the dental unit and may encourage the formation of bacterial colonies." Only use the water in the cooler at the end of the hallway with one of the tablets when filling your bottles.

May Schedule

I know you can see the schedule in QB Time, but I feel like I personally have not remembered when people are going to be here, etc., because I don't an easier schedule to read in front of me. With that said, I'm bringing this back so we're all on the same page. Please review to make sure there are no mistakes.

On those days were one doctor only has one assistant, the assistant team will work together to make sure that position is covered. I will be a backup for those day as needed, as well. On 5/15/25 I will plan on being in the back as we are missing two assistants.

Thursdays: Moving forward Debbie will be out on Thursdays, and Makenna will be in the back training as a dental assistant. Edmel will help at the front desk as needed. You will notice Te's time on every other Thursday is marked differently. He may be in on those days depending on clinical management needs.

Wednesdays: Makenna will trade with Edmel as the schedule allows to provide more training time.

Covering at Evergreen

If you are going to fill in at Evergreen, we need to set you up as an employee there. This means new hire paperwork and signing up for a new QB Time account. This is for bookkeeping purposes, and we apologize for the inconvenience. We appreciate everyone that responds to their call for help for assistants and hygienists.

Custom Notes in Patient Alerts/Flags

I just learned about an option for custom notes in our patient flags. There are some flags such as returning credit or debit balances or collecting on DOS that we write almost every day. Now you can add a date stamp, select your quick note, and then add your initials. If there are other quick alerts you'd like to add, please let me know. Just be aware we are limited on characters.

Interpretation of CBCT's

Per our discussion at the team meeting, here is the official code for sending out a CBCT or other diagnostic image for another professional to interpret or advise.

D0391 Inter. Diagnostic Img, Oth Prov

I have added this on our Procedure Code Button Set next to the CBCT. Please advise your patient when this code is going to be used and that insurance will not cover this expense. Just like the CBCT, we will submit it to insurance with a narrative, but the majority of times it will not be covered.

Any invoice for these cases should also be forwarded or given to Rachael for bookkeeping purposes.

Sleep Appliance Tabs

This doesn't happen often, but it's good to know. When a patient requires new tabs for their sleep appliance device, please use the following code for a pair of tabs.

D9959 Unspecified sleep apnea services procedure, by report. Benefits are denied.

Per the ADA this code will not be covered by insurance. It is marked as such in our system. The charge to the patient is $25.00 for the pair, $23.75 for seniors.

Upcoming Team Events

Dr. Jason Dashow from All Alaska Oral & Craniofacial Surgery will join us at our next team meeting on 5/15. If you will be out of town, but want to participate by Zoom, please let me know so I can get that together beforehand.

We will have a bike ride the last Saturday of May-August this year. The first adventure will be Saturday, May 31st at 9 AM. We will meet at the West Chester Lagoon parking spot and ride to Kincaid Park and back. Hope you can come!

Team Meeting Protocol

If you miss a team meeting, please check-in with your team. Your agenda is posted in the conference room for the meeting you missed. Use this to start the conversation with your team to catch up on protocols and other important topics covered in the last team meeting. We will do our best to inform you, but the onus is on your to ensure you're briefed on what you missed.

Lastly, please have your team totals and personal totals for the HCD Healthy Challenge ready before the meeting starts. Give these to either Te, Jillian, or Joselyn Thursday morning in order to save time during the meeting. If you are not going to be at the meeting, send your numbers in by text. There is no retroactive counting if you're unable to get your numbers in beforehand. This is for the sake of simplicity... and sanity.

Thank you all! To show you've read through the headlines, please send an image/gif/meme/emoji of your favorite activity you've done so far with the HCD Healthy Challenge.

Record your time via QB Time if you're reading this outside of regular hours. Have a great Monday!
